Invoices Overview

Create and send Square invoices to your customers directly from RightAsk.

Overview

The Invoices feature lets you draft, publish, and track invoices powered by your connected Square account. When you publish an invoice, Square emails a payment link to the recipient. Funds are collected into your Square account. You can track invoice status, view payment history, and manage all invoices from a single page.

Before You Start

Square must be connected before you can create invoices. If Square is not connected, the New Invoice button is disabled and a reconnect banner appears at the top of the Invoices page.

To connect Square, go to Integrations → Payments → Square and select Connect Square. See Connect Square to RightAsk for detailed steps.

Navigating to Invoices

  1. Select Business in the left sidebar.

  2. Select Invoices.

The Invoices page shows tabs at the top to filter by status: All, Draft, Unpaid, Paid, Closed, and Archived.

How to Create an Invoice

  1. On the Invoices page, select New Invoice.

  2. The Create Invoice dialog opens. Fill in the following fields:

    • Recipient name — the name of the person or company being invoiced.

    • Recipient email — the email address where Square will send the payment link.

    • Title — a short title for the invoice (up to 255 characters).

    • Description — optional details about the line items or scope of work.

    • Amount — the total amount to charge. The currency is set automatically from your Square location.

    • Due date — optional. Leave empty if there is no payment deadline.

  3. Select Create Draft.

  4. The invoice is created with Draft status and you are taken to the invoice detail page.

The invoice stays in Draft status until you publish it. Publishing emails the recipient a payment link.

Publishing an Invoice

From the invoice detail page:

  1. Review the invoice summary to confirm the details are correct.

  2. Select Publish Invoice.

  3. A confirmation dialog appears showing the recipient’s email address.

  4. Select Publish Invoice to confirm.

Square emails the recipient a payment link. The invoice status changes from Draft to Unpaid.

Invoice Statuses Explained

Status

What it means

Draft

The invoice has been created but not yet sent. Only you can see it.

Unpaid

The invoice has been published and emailed to the recipient. Payment is outstanding.

Scheduled

The invoice is scheduled for a future payment date.

Partially Paid

The recipient has made a partial payment toward the total.

Paid

The invoice has been paid in full.

Partially Refunded

A partial refund has been issued.

Refunded

The invoice has been fully refunded.

Canceled

The invoice was canceled before payment was completed.

What Happens Next

After publishing, you can:

  • Select the invoice to open the detail page and view its timeline, public payment link, and payment history.

  • Copy or open the Public Invoice Link from the detail page to share the payment link directly.

  • The invoice status updates automatically when you return to the page — no manual refresh needed.

Troubleshooting

The New Invoice button is disabled. Square must be connected to create invoices. Select Connect Square in the banner that appears at the top of the Invoices page, or go to Integrations → Payments → Square.

I published an invoice but the recipient says they did not receive the email. Confirm the recipient email address in the invoice summary is correct. Square sends the email — ask the recipient to check their spam folder. You can also share the public payment link directly from the invoice detail page.

The invoice status has not updated after the recipient paid.

The status updates automatically when you return to the invoice detail page. If it still shows the wrong status after a few minutes, navigate away and back to trigger a refresh.

I get an error when I try to create or publish an invoice. This usually means Square has become disconnected. Look for a reconnect banner at the top of the page. Select Connect Square (or Connect & Create Invoice) to restore the connection, then try again.
