Overview
Your assistant never changes your data on its own. Whenever it prepares a change, a card appears in the conversation or on the Priorities tab. The card shows what will happen, a button to approve it, and a Dismiss button to throw it away. Many cards also show a short note explaining the limits of what approving will do.
The single most important thing to know: the assistant never sends an email, never sends a contract for signature, and never deletes a file. Emails and campaigns are saved to Mail as drafts. Contracts are saved as drafts. File cleanup archives or groups files. It does not delete them.
Reading a card
Every card names the specific action on its approve button, so you always know what you are agreeing to before you select it. Save Draft and Create Invoice do different things, and the button says which.
Beside it, a short note states the limit of the action, such as “Saves to Mail. Nothing sends.” That note is the thing to read if you are unsure.
Dismiss throws the card away. Nothing is saved and nothing happens.
Not every card has an Edit button. On those, the body itself is what you change. Edit the values in place, then approve.
Every card type
Email and campaign cards
Label | What it prepares | Button | What approving does not do |
Follow-Up | A follow-up email to a contact | Save Draft | Saves to Mail. Nothing sends. |
Payment | A chase email for an overdue invoice | Save Draft | Saves to Mail. Nothing sends. |
Signature | A chase email for an unsigned contract | Save Draft | Saves to Mail. Nothing sends. |
Campaign | A campaign to a group of leads | Save Campaign | Saves to Mail. Nothing sends. |
All four land in Mail > Drafts. You review and send them yourself.
Business document cards
Label | What it prepares | Button | What approving does not do |
Invoice | A Square invoice | Create Invoice | Creates a Square draft. It is not published or emailed. |
Contract | A contract | Approve | Saves a contract draft. Never sends it for signature. |
An invoice created this way still needs publishing from Business > Invoices before Square emails the recipient. A contract still needs Send for Signature from Business > Contracts.

How to approve or dismiss a card
Read the body of the card and the footer note.
If the card has an Edit button and you want to change the wording, select Edit, make your changes, then approve.
If the card’s body has editable fields, such as amounts, names, or file selections, change them in place.
Select the approve button. Its label names exactly what will happen.
Or select Dismiss to discard the card. Nothing happens and nothing is saved.
Once approved, the card settles into a completed state and a confirmation appears. Where the result can be linked, the confirmation includes a link straight to it.
Where cards appear
In the conversation: directly under the assistant’s reply that produced them.
On the Priorities tab: under Actions, where they wait until you handle them.
A card stays available until you approve or dismiss it, including across page reloads. Following a notification about a piece of work takes you to that card on Priorities.
What happens next
Approved work lands in its home in RightAsk:
Email and campaign drafts go to Mail > Drafts
Invoices go to Business > Invoices, as Square drafts
Contracts go to Business > Contracts, as drafts
New agents go to Agents, as drafts awaiting publish
Tags, details, and imports go to Assets
Contact updates go to Contacts
Everything you approve or dismiss is recorded on the History tab.
Troubleshooting
The approve button is greyed out. Something the card needs is missing or still loading. Hover the button to see the reason. On invoice cards, check that the amount and recipient are filled in.
There is no Edit button on a card. Cards whose content lives in the body, such as file lists, field definitions, configuration changes, and contact fields, are edited in the body itself rather than through a separate Edit step.
I dismissed a card by mistake. Dismissing discards the card permanently. Ask the assistant for the same thing again to get a fresh one.
A card says an action failed. The card reports the reason and stays available so you can retry. A common cause for invoice cards is a Square connection that has expired. Reconnect under Integrations > Payments, then approve again.
I followed a notification and was told the item was already handled. The work was approved or dismissed already. Check the History tab for what happened to it.
