Overview
Cloud import lets you select files stored in a connected cloud storage account and send them directly to your agent’s knowledge base. The files are fetched using your authorised connection, so you do not need to download them to your computer first. Once imported, the documents go through the same processing as files you upload manually.
Supported cloud providers
Three cloud providers are supported:
Google Drive
Dropbox
OneDrive
All three are available on every RightAsk account. If you have already connected a provider, selecting its button opens the file picker directly instead of starting the authorisation flow.
How to Import Documents from a Cloud Provider
Step 1: Open the Knowledge Base tab
Open the left sidebar and expand Agents.
Select Configuration.
Select the Knowledge Base tab.
Step 2: Select your cloud provider
In the import section, select Google Drive, OneDrive, or Dropbox.
If you have already connected that provider, the file picker opens immediately. If not, RightAsk redirects you to the provider’s authorisation page to connect your account — you only need to do this once. After authorising, you are returned to the Knowledge Base tab and the picker opens automatically. For more detail on connecting a provider, see Connect Google Drive, Connect Dropbox, or Connect OneDrive.
Step 3: Select files in the picker
Navigate to the file or files you want to import.
Select the files, then confirm your selection.
RightAsk begins importing the selected files immediately.
A confirmation message appears confirming the import has started.
Step 4: Wait for processing
The document appears in your knowledge base list with a processing status. Processing is complete when the status changes to ready.
What Happens After Import
The document is added to the knowledge base and counts toward your plan’s document limit.
Free plan: up to 5 documents per agent.
Pro plan: unlimited documents.
Each file must be 20 MB or smaller.
Supported file types: PDF, TXT, MD, DOC, DOCX, PPTX, HTML, CSS, JSON, JS, TS, PY, Java, C, C++, C#, PHP, Ruby, Go, Shell, LaTeX.
Troubleshooting
The file picker opens but the file I want is not visible. The picker shows only files in your connected account. If a file is in a shared drive or a specific folder, navigate to it within the picker.
The import fails with an error message. Common reasons include an unsupported file type, a file over the 20 MB limit, or a duplicate file already in this agent’s knowledge base. The error message describes the specific reason.
Authorisation fails or the page does not return to RightAsk. Make sure your browser is not blocking pop-ups or redirects. Select the provider button again to restart the flow. If the issue persists, reconnect the provider from the Integrations page — see Connect Google Drive, Connect Dropbox, or Connect OneDrive.
