Overview
Assets is a central media library where you upload and organise files used in your RightAsk workspace. You can upload photos, videos, audio clips, and documents, group them into collections, and use them when building hosted pages or configuring your agents.
How to Open Assets
Select Assets in the left sidebar. The page title is Assets.
If you have not uploaded anything yet, you will see the empty state: Your Media Library — “Store images, videos, audio, and documents in one place. Drag anything here or hit Upload to get started.”
How to Upload a File
You can add files in several ways.
Using the Upload Assets menu
Select Upload Assets in the top-right corner of the Assets page.
Choose From Device. Your file picker opens. Select one or more files.
Select Open. An upload dialog appears: Uploading [n] files — “Please wait while your files are being uploaded.”
Each file shows its upload status: Waiting, Preparing, Uploading, Finalizing, or Complete. A progress bar and percentage track each file individually.
The dialog closes automatically when all files have finished uploading.
Drag and drop
Drag files from your computer directly onto the Assets page. A Drop Assets to Upload overlay appears when you are dragging over the page. Release to start uploading.
From the empty state
When your library is empty, select Upload Assets to open the file picker.
From cloud storage
You can import files straight from Google Drive, Dropbox, or OneDrive:
Select Upload Assets in the top-right corner.
Choose Google Drive, Dropbox, or OneDrive from the menu.
If the provider is not connected yet, its row shows a Connect badge — selecting it starts the one-time connection flow. Once connected, the row shows Connected and the provider’s file picker opens.
Select the files you want and confirm. They are imported into your Assets library.
To connect a provider in advance, or if you have trouble connecting, see Connect Google Drive to RightAsk, Connect Dropbox to RightAsk, or Connect OneDrive to RightAsk.
File size limits by type
File type | Maximum size |
Photos | 15 MB |
Videos | 500 MB |
Audio | 100 MB |
Documents | 50 MB |
Graphics | 100 MB |
Files that exceed the limit for their type are rejected with an error message before the upload starts.
How to Organise and Manage Files
Filtering and sorting
At the top of the file grid, a filter bar lets you:
Search assets — type to search by filename.
Filter by date — select the date dropdown to filter by All Time, Today, This Week, This Month, or This Year.
Sort order — in the same dropdown, choose Newest First or Oldest First.
Grid density — drag the grid slider to make thumbnails larger or smaller.
Select — select Select to enter multi-select mode. Select individual files, then use the bulk action bar to delete, favourite, or move multiple files at once. Select Cancel to exit multi-select mode.
If filters are active, an X button appears to clear all filters at once.
Category tabs
When you have uploaded files, category tabs appear at the top: All, followed by tabs for each file type that has at least one file (for example, Photos, Videos, Documents). Select a tab to show only that file type.
Collections
The Collections panel appears on the right side of the Assets page. Collections are named groups that help you organise files.
Create a collection
In the Collections panel, type a name into the New collection name field at the bottom.
Select Create or press Enter.
Add a file to a collection
Hover over a file in the grid to reveal its action menu.
Select the add-to-collection option and choose a collection from the list.
Rename a collection
Hover over the collection name in the Collections panel. Edit and confirm icons appear.
Select the edit icon (pencil).
Type the new name and press Enter or select the confirm button.
Delete a collection
Hover over the collection name in the Collections panel.
Select the delete icon (trash).
Confirm in the dialog: Delete Collection — “Assets in this collection will not be deleted.” Select Delete.
Previewing and editing a file
Select any file in the grid to open a preview sheet showing the full file, its name, size, and upload date. From the preview sheet you can download the file, mark it as a favorite, or open the edit dialog.
In the edit dialog, you can update the file’s display name, description, tags, and collection membership.
How to Delete a File
Delete a single file
Hover over the file in the grid. A delete option appears in the file’s action menu.
Select Delete Asset.
A confirmation dialog appears: Delete Asset — “Are you sure you want to delete ‘[filename]’? This action cannot be undone.”
Select Delete to confirm, or Cancel to go back.
You can also delete a file from its preview sheet.
Delete multiple files
Select Select in the filter bar to enter multi-select mode.
Select the files you want to delete.
Select Delete [n] Assets in the bulk action bar that appears at the bottom of the page.
Confirm in the dialog: Delete Selected Assets — “This action cannot be undone.” Select Delete [n] Assets.
What Happens Next
Uploaded files are stored in your workspace and available immediately. They can be referenced when building your hosted page in the Website Builder — for example, as background images or images in content sections.
Deleted files are removed permanently and cannot be recovered.
Troubleshooting
Upload fails immediately without starting. The file exceeds the size limit for its type. The error message names the file and the maximum allowed size. Compress the file or use a smaller version and try again.
File appears to upload but does not show in the grid. After the upload dialog closes, the grid refreshes automatically. If the file does not appear, select the refresh button (the circular arrow icon) next to the Upload Assets button to manually reload the list. If the file still does not appear, check the date filter — it may be set to a range that excludes newly uploaded files. Select the X in the filter bar to clear all filters.
File is in the grid but the thumbnail does not load. Thumbnails load as you scroll. If a thumbnail fails to render, refresh the page. For video files, thumbnail generation can take a few extra seconds after upload completes.
Cannot delete a file — delete button is not responding. If a deletion appears to fail, wait a moment and try again. The store performs an optimistic removal — if the server rejects the deletion, the file reappears in the grid automatically. Check your internet connection and try again.
